📝 Job Description Summary

Responsible for various Order Management administrative functions, including contract generation, order audits, billing audits, and order processing. Ensures accuracy and adherence to Product, Legal, and Finance standards. Expected to actively contribute to process improvements, documentation, and implementation of new workflows.

🌟 About the Role

We are looking for a detail‑oriented and proactive professional to support a wide range of Order Management administrative functions, including contract generation, order processing, billing audits, and coordination with global teams. This role requires strong communication skills, ownership, and the ability to work effectively in a fast‑paced environment.

🧭 Principal Responsibilities

• 📄 Responsible for generating contract and/or pricing requests from the Sales Team, ensuring accuracy of legally binding documents delivered to customers.
• ⚡ Manage ad‑hoc, time‑sensitive contract projects (50–500 properties in a corporate contract).
• 📬 Handle a daily queue ensuring SLA compliance.
• 📊 Track contract discounting and report to senior management.
• 🌍 Represent Order Management on weekly regional calls.
• 📝 Ensure quality control of signed orders as per documented requirements and fulfilment systems.
• 🔁 Manage hand‑off of approved orders to implementation teams.
• 🗂 Save signed and approved contracts in the required document repository.
• 🤝 Follow SOPs and collaborate with cross‑functional teams to meet or exceed SLAs.
• 🔍 Assist Legal with time‑sensitive and high‑profile contract searches.
• 🎁 Maintain awareness of special promotions and ensure correct contract processing.
• 🧪 Participate in UAT for product rollouts.
• 🛠 Troubleshoot contract issues with Product, Legal, Billing, and Finance teams.
• 📘 Maintain the Key Account Guide to ensure brand‑specific pricing and processes are applied.

🎓 Experience & Qualifications

• 🎓 Bachelor’s Degree preferred.
• 🏨 Hospitality/travel industry experience is a plus.
• 📑 Minimum 2 years’ experience in Order Management, Contract Entry, or Billing processes. Over all 5+yrs experience.
• 💻 Proficiency in MS Office (Word, Excel, Outlook).
• 🧠 Ability to define problems, collect data, analyse facts, and draw conclusions.
• 📈 Experience with report generation, data systems, and analysis techniques.
• 🗣 Strong communication skills—written, verbal, formal, and informal.
• 💼 Strong business acumen with ability to prepare clear documentation and presentations.
• 😀 Positive attitude, strong work ethic, adaptable to fast‑paced environments.
• 📅 Adaptability required, including no holidays during month‑end close (first & last 2 working days) and 20 Dec–3 Jan.
• 🌎 Must be fluent in English

• 🧭 Lead daily operations of the International Order Management Team.
• ✔ Ensure accuracy of order entry for product specialization.
• 🔄 Execute order processing during peak volumes/time‑sensitive periods.
• 🤝 Collaborate across departments following SOPs to meet/exceed SLAs.
• 🛠 Troubleshoot contract issues with Product, Legal, Billing & Finance.
• 💡 Participate in new business process discussions.
• 📚 Define and maintain QA procedures for all products.
• 📏 Establish performance metrics and report insights to management.
• 📊 Deliver weekly, monthly, and ad‑hoc performance reports.
• 🏆 Build and coach a high‑performing, accuracy‑focused team.
