The Executive Assistant to the Editor-in-Chief serves as the trusted execution partner to the Editor-in-Chief, ensuring seamless coordination across priorities, communication, meetings, travel, and strategic initiatives. Acting as the operational backbone of the office, you will create the structure, visibility, and responsiveness required for the Editor-in-Chief to operate at maximum effectiveness.
This role combines executive support, stakeholder management, research, communication, and operational excellence. Primary Responsibilities
1. Executive Support & Calendar Management
- Own the Editor-in-Chief's calendar, priorities, and daily operating rhythm by ensuring every meeting, commitment, and stakeholder interaction is planned with precision. Act as the central coordination point, enabling seamless execution while protecting time for high-impact work.
- Manage calendar scheduling, rescheduling, and time blocking.
- Prioritise meetings and resolve scheduling conflicts.
- Coordinate with internal and external stakeholders.
- Plan daily schedules and meeting reminders.
- Maintain complete visibility into priorities and commitments.
2. Meeting Preparation & Executive Briefings
- Ensure every meeting is backed by thoughtful preparation through comprehensive research, structured briefing documents, and contextual information that enables informed discussions and effective decision-making.
- Prepare meeting briefs and agenda documents.
- Conduct founder, company, and ecosystem research.
- Develop travel dossiers and event briefing notes.
- Prepare moderation documents and speaking briefs.
- Compile background material for strategic meetings.
3. Meeting Follow-ups & Executive Coordination
- Drive accountability by translating discussions into clear action items, coordinating follow-ups across stakeholders, and ensuring every commitment reaches closure.
- Prepare Minutes of Meeting (MoMs).
- Track action items and follow-ups.
- Coordinate with teams for timely execution.
- Maintain closure trackers across initiatives.
- Ensure visibility into pending deliverables.
4. Travel, Communication & Representation
- Coordinate executive travel, communication, and external engagements while ensuring every interaction reflects professionalism, responsiveness, and attention to detail.
- Manage flights, hotels, visas, itineraries, airport transfers, and travel logistics.
- Draft emails, WhatsApp messages, and executive correspondence.
- Manage inbox follow-ups and stakeholder communication.
- Coordinate speaker nominations, bios, event registrations, and passes.
- Support external representation across conferences and events.
5. Personal Support & Executive Administration
- Provide trusted operational support across personal and administrative priorities, enabling the Editor-in-Chief to remain focused on strategic leadership while ensuring day-to-day execution remains seamless.
- Coordinate gifting, courier management, and personal purchases.
- Manage home-related coordination and personal errands.
- Support proposal, presentation, and report proofreading.
- Shortlist photographs and assist with LinkedIn support.
- Coordinate attendance, vendor management, printing, and administrative tasks.
Professional Traits
- 3–5 years of experience as an Executive Assistant, Executive Business Partner, Founder's Office Associate, or similar executive support role, preferably within startups, media, consulting, or fast-paced organizations.
- Exceptional organisational and time management skills with the ability to manage multiple priorities simultaneously.
- Outstanding written and verbal communication skills with experience drafting executive emails, documents, and stakeholder correspondence.
- Strong stakeholder management capabilities with the confidence to coordinate across founders, CXOs, government officials, investors, speakers, and external partners.
- Demonstrated ability to maintain confidentiality, exercise sound judgment, and handle sensitive information with discretion.
- Highly detail-oriented with a proactive mindset, anticipating needs before they arise and ensuring nothing slips through the cracks.
- Comfortable working directly with senior leadership in a fast-paced environment where priorities evolve rapidly.
- Proficient in Google Workspace, Microsoft Office, Notion, Asana, Canva, and modern productivity tools.
