Primary Responsibilities:
- Leading implementations as the client-facing Project Manager for complex, multi-program implementations. This includes the creation, management, and oversight of project plans and key project artifacts to achieve high quality, on-time implementations that result in a highly satisfied and referenceable client
- Relentlessly collaborating and communicating with a myriad of external and internal stakeholders while serving as the primary liaison between the client, operational and technical domain experts, to ensure alignment and quality outcomes
- Tracking client-specific services and/or product deliverables while reinforcing the scope of work outlined in the contract
- Preparing detailed and accurate status reports on an ongoing basis, mitigating delays to the implementation, and escalating issues to the leadership team when appropriate
- Facilitating knowledge sharing sessions with peer Project Managers leveraging client-based learnings to ensure consistency of the overall delivery model
- Proactively seeking opportunities for continuous performance improvement including ongoing PMO methodology enhancements
- Project Planning & Delivery
- Developing, maintaining, and updating project plans, timelines, and milestones across multiple concurrent initiatives, including implementation, go-live readiness, and post-go-live stabilization activities
- Tracking tasks, owners, due dates, risks, and dependencies, ensuring updates are communicated clearly and consistently
- Adjusting plans as priorities, timelines, or resourcing change, and escalating impacts appropriately
- Stakeholder Coordination & Communication
- Acting as the primary point of contact for internal teams (technology, operations, billing, engineering) and external clients or partners
- Scheduling, facilitating, and leading recurring project meetings (weekly connects, readiness calls, internal status calls)
- Preparing and distributing agendas, meeting notes, action items, and follow-ups to ensure clarity, alignment, and accountability
- Go-Live Readiness & Delivery Support
- Coordinate go-live readiness activities, including validation tracking, must-have requirements, and dependency confirmation
- Ensure required documentation, configurations, and approvals are identified, tracked, and completed prior to go-live
- Partner with business and operations leaders to surface risks, confirm readiness, and determine appropriate timing for go-live decisions
- Risk, Issue & Dependency Management
- Proactively identify risks, issues, and cross-team dependencies, documenting impacts and mitigation plans
- Follow up with owners to unblock work, confirm timelines, and address stalled or deprioritized efforts
- Escalate concerns clearly and factually when timelines, scope, or outcomes are at risk.
- Documentation & Reporting
- Maintain accurate project documentation, including meeting notes, trackers, status updates, and shared artifacts in collaboration tools (e.g., Smartsheet, Teams, SharePoint)
- Provide concise status updates to leadership and stakeholders, highlighting progress, risks, and decisions needed
- Ensure project artifacts are organized and accessible to support continuity and coverage.
- Cross-Team & Operational Support
- Support business and operations teams by organizing work, clarifying ownership, and coordinating handoffs between teams
- Partner with peers to provide coverage during PTO and transitions, ensuring continuity of project delivery
- Contribute to a collaborative, solutions-oriented project management culture
- Comply with the terms and conditions of the employment contract, company policies and procedures, and any and all directives (such as, but not limited to, transfer and/or re-assignment to different work locations, change in teams and/or work shifts, policies in regards to flexibility of work benefits and/or work environment, alternative work arrangements, and other decisions that may arise due to the changing business environment). Required Qualifications:
- 4+ years of project management experience in Healthcare IT or Revenue Cycle Management
- Experience with implementation or support of SaaS technologies
- Experience owning client relationships, including recurring relationships, risk mitigation, issue resolution, and escalation management
- Experience facilitating meetings, documenting outcomes, and managing action items to completion
- Proficient in MS Word, PowerPoint, Excel, and Smartsheet (or other project management tool)
- Demonstrated communication and presentation skills
- Demonstrated ability to anticipate and manage conflict and risks, while leading the implementation through challenging situations
- Proven ability to organize work, track details, and drive follow-through in a fast-paced environment
- Proven collaborative, flexible, and maintains a positive attitude in a fast-changing environment
Preferred Qualifications:
- Project management certification or coursework
- Experience understanding and translating technical concepts to technical and non-technical audiences
- Salesforce experience
- Knowledge of software functionality, user navigation, and reporting capabilities
- Proven solid written and verbal communication skills, with the ability to synthesize complex information into clear updates
- Proven solid decision-making capability. Can digest complex information to understand core issues and develop proposed solutions that align with company and client interests
- Proven ability to apply process improvement methods independently and successfully with measurable business performance improvement outcomes
