Job summary
As an Administrative Assistant in Home Lending, you play a key role in supporting our leaders and ensuring smooth operations across the organization. You work collaboratively within a team environment, represent the manager and group with professional courtesy, and deliver flawless work output. Together, we foster a culture of partnership, adaptability, and high performance, making a difference for our clients and colleagues.
Job responsibilities
- Maintain complex and detailed calendars and screen incoming calls and determine the level of priority, using discretion in dispensing information
- Manage coordination and logistics for internal and external meetings
- Arrange and coordinate complicated domestic and international travel and organize all aspects of offsite conferences and external events, including catering and transportation
- Process invoices and T&E expense claims for team members, ensuring compliance with policies and guidelines
- Assist with staff onboarding and offboarding, including equipment setup and system access requests
- Produce high-quality emails and messages to individuals at all levels of the organization
- Maintain current organizational charts and Executive Bios
- Handle regular activities proactively and advise in advance of issues or delays and lead and coordinate ad hoc projects as requested
- Assist in editing spreadsheets and presentations, including printing and binding for client meetings
- Work cooperatively with the administrative assistants team to support each other smoothly
Required qualifications, capabilities, and skills
- At least five years of administrative experience, ideally supporting at the Managing Director level (or equivalent) or above
- Advanced organizational skills
- Tact and good judgment in confidential situations, with proven experience interacting with senior management
- Strong interpersonal, written, and oral communication skills
- Proficiency in Microsoft Office
- Excellent telephone etiquette and ability to manage competing priorities, including calendar management
Preferred qualifications, capabilities and skills
- Experience supporting executive-level leaders in a financial services environment
- Demonstrated ability to coordinate complex travel and event logistics
- Familiarity with invoice and expense processing systems
- Experience with staff onboarding and offboarding procedures
- Ability to produce high-quality communications for senior stakeholders
- Proven success in leading ad hoc projects
- Strong partnership skills within administrative teams
