The HR Onboarding Specialist oversees the new hire onboarding process, issues offer letters, performs E-verify, and maintains records. They coordinate visa and immigration procedures, ensure compliance with state regulations, and assist with payroll processes. Required qualifications include strong communication skills, the ability to work at different organizational levels, and proficiency in office software. Preferred experience in US HR onboarding and knowledge of various contractual terms.
Roles and Responsibilities
New Hire Onboarding:
- Oversaw new hire on-boarding lifecycle to include: Issuing Offer letters/Agreements and new employee packages (I-9 form, W4 form, payroll Sheet, Payroll Calendar, Holiday List, Insurance forms and Checklist) to W2 and 1099 employees., Criminal Background / Employment/ Education verifications
- Reviewing contracts (MSAs, NDAs, NCAs, RTRs, Subcontractor Agreements, etc.), negotiating contracts with clients, vendors.
- Performing E-verify for all the employees. Streamlining the processes as and when changes occur.
- Maintaining the master sheet for placements, offer letters, work authorizations, E-verify.
Visa and Immigration:
- Coordinate with an Attorney to Generate New H1, Extension, Amendment Procedures. Request documents from Consultant and Vendor/Clients as per Attorney Checklist.
- Monitor and respond quickly towards the requests received on H-1B Visas and Green Card processing, filing H-1B Cap cases and take care of all other immigration needs involving H-1B Amendments, H-1B Extensions, H-1B Transfers, PERM Process, Perm Audits, I-140 & Adjustment of Status
- Collect and verify new hires and current employees work authorization and keep track of their nonimmigrant expiration dates and initiate extensions as needed.
- Ensure all paperwork, including applications for immigration and visa are completed accurately and in a timely manner.
- Work with insurance providers in getting Certificate of Insurances as per client/vendor requirements.
- Maintain proper organization files, records, and correspondence related to the organizations' HR & Immigration.
- Ensure that all of the information provided by the client is accurate and correct, preparing and checking all legal documents..
- Update immigration file as needed, as well as prepared Public access files (PAF) based on the initiated and certified LCAs ensuring compliance, documentation and execution of immigration policies and procedures for all the employees.
- Support the preparation of documents, letters, petitions, etc. for signature
State Registrations and Compliance:
- Handle New State/Federal Registration process and related Statutory/Regulatory/Tax compliance issues.
- Work with insurance providers in getting Certificate of Insurances as per State/Federal requirements.
- Handle audits and ongoing compliance activities under various State/Federal enactments with the collaboration of internal as well as external stakeholders.
- Maintain and update compliance calendar, trackers, periodical reports and repositories.
Payroll and AP/AR:
- Coordinating with the Payroll and AP/ AR team and making sure the AR and AP is smooth and on time.
- Follow ups for the missing timesheets of the candidates.
- Updating the payroll statuses of the consultants on a daily basis.
Required Qualifications:
MUST BE comfortable to work in night shifts - 7.30 PM to 4.30 AM IST.MUST HAVE excellent communication skills to include verbal, written, and interpersonal

- Ability to travel when business requires
- Proficiency in or knowledge of using a variety of computer software applications Microsoft Word, Excel and PowerPoint
Nice to Have:
- 2+ years of experience in US HR / Onboarding experience is highly preferred but NOT MANDATORY
- US HR / Onboarding experience and knowledge of contractual terms like 1099, W2, C2C, H1B, EAD, I9, NDA, W9, EAD, PO, and Master Service Agreements is highly preferred but NOT MANDATORY
