About the Role
We are looking for a dynamic, well-organized, and proactive professional to manage our front office operations, day-to-day administration, and executive support for the leadership team. This is a key role that helps ensure smooth workplace operations and a great visitor/employee experience.
Key Responsibilities
Front Office & Reception
- Manage front desk operations, greet visitors, and ensure a professional and welcoming environment.
- Handle incoming calls, emails, courier services, and visitor logs.
- Coordinate meeting room bookings and ensure readiness for internal/ external meetings.
Office Administration
- Oversee office supplies, stationery, pantry items, and vendor coordination.
- Support HR/Admin in onboarding activities (ID cards, desk setup, welcome kits).
- Manage facility-related tasks: housekeeping coordination, office maintenance, and basic IT coordination.
- Assist with event planning: town halls, celebrations, client visits, and internal team activities.
Executive Assistant (EA) Responsibilities
- Provide executive-level support to the Founders/Leadership team.
- Manage calendars, schedule meetings, and coordinate travel and accommodations.
- Prepare reports, presentation materials, and meeting documentation as needed.
- Maintain confidentiality and handle sensitive information with discretion.
General Coordination
- Bridge communication between teams and leadership.
- Follow up on action items assigned by leadership and ensure timely completion.
- Assist with procurement documentation, invoices, and basic administration tasks.
Requirements
- 1–4 years of experience in Front Office, Admin, or Executive Assistant roles (startup experience is a plus).
- Excellent communication skills (spoken and written).
- Proficiency in MS Office tools (Outlook, Excel, PowerPoint).
- Strong organizational skills and ability to multitask in a fast-paced environment.
- Positive attitude, professional grooming, and strong people-handling skills.
- Ability to maintain confidentiality and handle high-trust tasks.
