What you will do:
•Manage the Director’s calendar, meetings, appointments, travel, and itineraries.
•Coordinate with internal teams, clients, vendors, and business partners on meetings, follow-ups, and deliverables.
•Track action items, projects, priorities, and timelines and ensure timely closure.
•Prepare presentations, reports, meeting agendas, minutes, correspondence, and trackers.
•Support leadership with business coordination, research, documentation, and day-to-day administrative requirements.
•Use AI tools such as ChatGPT, Gemini, Microsoft Copilot, Claude, Perplexity, or similar platforms to improve productivity, research, documentation, reporting, and workflow automation.
•Coordinate across departments such as Sales, Marketing, Finance, HR, Operations, and Technology.
•Maintain confidential information, records, and digital documentation with discretion.
•Coordinate effectively across different time zones and manage virtual communication in a remote environment.
•Handle ad-hoc administrative, operational, and business requirements for senior leadership.
Requirements
•Bachelor’s degree in Commerce, Business Administration, Management, or a related discipline. Postgraduate qualification will be an added advantage.
•3+ years of experience as an Executive Assistant, Senior Executive Assistant, Management Assistant, Executive Coordinator, or similar role.
•Prior experience supporting a Director, MD, CEO, President, or C-suite executive.
•Practical experience using AI tools / AI-enabled workflows.
•Experience in Media, Advertising, AdTech, AI, IT, Technology, SaaS, or Digital Marketing will be an advantage.
•Strong experience in calendar management, travel coordination, executive communication, reporting, and stakeholder management.
•Prior experience working in a remote/distributed environment is preferred.
