The Role
The Executive Assistant and Senior Operations Associate will report to the Chief of Staff, providing high-level administrative support to Senior Executives and the Country Director, while also assisting with day-to-day operations. This role requires exceptional multitasking abilities, attention to detail, and the capability to handle sensitive information. The ideal candidate will be proactive, organized, and skilled in handling both executive and operational tasks to ensure smooth and efficient organizational operations.
Responsibilities
Executive Support
- Drive executive productivity by coordinating multi-stakeholder meetings and managing executives’ calendars, appointments, meetings, and travel arrangements.
- Draft professional communication and executive correspondence.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Screen and prioritize phone calls, emails, and other correspondence.
- Assist with the preparation and editing of presentations, reports, and documents.
- Act as a liaison between executives and internal/external stakeholders.
- Assist in managing travel expenses and other related documentation.
Operations Support
- Assist in operational planning, project coordination, and tracking of tasks.
- Facilitate communication across departments to streamline workflows.
- Support in maintaining office organization by managing supplies, coordinating facility requests, and ensuring the smooth execution of office events, as needed
- Provide logistical support to Senior Executives and the Country Director, while contributing to process improvements.
Essential
- Bachelor’s degree in Business Administration, Operations, or a related field
- 3+ years of experience in an executive support or operations role, preferably in a fast-paced environment
- Proficiency in Microsoft Office Suite, Google Workspace, and other collaboration tools (e.g., Slack, Asana, etc.)
- Strong written and verbal communication skills in English and Hindi
- Excellent organizational and multitasking skills
- Ability to handle sensitive information with discretion and maintain a high level of confidentiality
- Attention to Detail- Ensures accuracy in all deliverables
- Proactiveness- Anticipates needs and takes initiative
Desirable
- Knowledge/Understanding of Project Management methodologies
- Excellent interpersonal skills with the ability to collaborate effectively with diverse personalities and cross-functional teams
- Adaptability- Comfortable with changing priorities and managing multiple projects
- Problem Solving- Ability to proactively identify and resolve issues

Position Location
This role is based at New Delhi, India.
